How to hand work off without becoming the team's reminder app

Make a useful handoff with a clear outcome, accepting owner, decision limits, support and check-in plan. Follow the exceptions instead of every task.
A handoff is not complete because you put someone's name beside a task. The person needs to understand the outcome, accept the work and have what they need to do it.
Atlassian's roles-and-responsibilities exercise helps teams compare expectations, surface gaps and agree owners. That is a better starting point than silently assigning work and chasing it later.
Agree on the outcome
Describe what done means, the reason for the work and the real deadline. Give relevant context and links. Ask the owner to explain the next step in their own words so you can catch a misunderstanding early.
Check capacity and dependencies. A willing owner without access or time is not an executable plan.
Separate ownership from permission
Which decisions can the owner make? What spending, communication or scope change needs approval? Who can answer questions or unblock the work?
Atlassian's DACI framework distinguishes the Driver from the Approver. The person moving a project may still need someone else to make a decision. Do not call that a failure of initiative when the authority was never given.
A handoff checklist
- Outcome and completion evidence.
- Owner who has accepted the work.
- Deadline and dependencies.
- Access, context and support.
- Decision limits and escalation contact.
- Checkpoint agreed with the owner.
The checklist is a suggested working aid, not a certified EOS tool. Set a check-in rhythm that fits the risk and the person's experience. Some work needs a closer first review; other work can be checked at a milestone.
Follow exceptions, not every movement
Ask owners to raise a blocker before the deadline is already missed. A useful update says what changed, what it affects and what help is needed. Record the decision or revised plan rather than repeatedly sending "any update?"
If the same task needs constant chasing, review the handoff. Was the outcome unclear? Was ownership disputed? Was access missing? Did new work displace it?
Your goal is not to become better at reminders. It is to leave the work with an owner who can carry it, while keeping the important limits and surprises visible.
